PARTSCHECK ORDERS -1C GUIDE -CHECKING THE ORDER

In this scenario some staff are doing quotes ,other staff are processing orders

IF MULTIPLE STAFF PROCESSING THE ORDERS AT THE SAME TIME 

if you have a call transferred to you to sort a parts check order then you must deal with it - we dont want to have the call transferred twice

STEPS

WE HAVE COMPLETED WORK ORDER AS PER GUIDE ,PRINT OFF WORK ORDER AND CHECK 

CHECK AGAINST THE WORK ORDER THAT IS PRINTED OUT

--ACCOUNT NAME IS SAME AS THAT ON PARTS CHECK ,CHECK THE SUBURB AND NAME i.e for gemini group

--ACCOUNT IS OK (NOT CHK) 

-PRICES ARE CORRECT AND GST ADDED IF REQUIRED -check the items tag on work order,partscheck is less gst ,pinnacle shows prices including GST)

--SHIPPING CARRIER IS CORRECT,

--SHIPPING DATE SHOWN ON WORK ORDER IS CORRECT AGAINST ETA

--put cross thru item as you check them

--NOW TURN THE PRINT OUT OVER AND DON'T LOOK AT IT -

--LOOK UP ITEM AS IF IT WAS A SALE

--CHECK CORRECT IC OPTIONS IS SELECTED

-WHEN YOU GET TO PARTS SCREEN YOUR ITEM SHOULD BE GREYED OUT (if its not there check its not already invoiced)

--CHECK ITEMS DESCRIPTION -NOT DESCRIBED AS "DAMAGED,SUIT PRIVATE ,TO CHECK TYPE.

--CHECK ITEMS CONDITION CODE AREN'T C GRADE (EXCEPT HEADLIGHTS -SEE SEPARATE GUIDE )

--CHECK STATUS OF W OR Y OR (IF Y STATUS ADD TIME TO DELIVERY ) 

--CHECK THE IMAGES OF CAR THAT ITEMS ARE COMING  VS IMAGES OF CAR THAT REPAIRER HAS

5. PUT CHECKED  QUOTE  IN  CORRECT TRAY

WE WILL FILE THESE INTO DAY SHEETS FOLDER @ END OF DAY

FAQ:

What if support has quoted incorrect item
We can select another alternate item ,see separate article for this or if we dont have items we have to advise buyer ,see separate guide for this

What if i see that support hasn't started on a inquiry that will soon expire ?

message support and check if they can do it or if necessary do it yourself

What about support break times who covers quotes in these times ?
JJ Sydney staff cover quotes in this time

IF JJ SYD are doing a quote how do we notify support team that we are doing it so we dont get mixed up ?

If JJ SYD are doing quote can they immediately select Brad as sales rep and save
then go back in and start working on quote ,this informs support team that JJ SYD are working on quote

How do i know which quotes support has done or is working on ?

QUOTES THAT HAVE ALREADY BEEN SENT ,HOW CAN I CHECK THEM ?

In the quotes inbox click on the waiting icon ,this show quotes where repairer hasn't  selected any supplier to supply parts and as a guide are usually the most recent quotes

No action is required for account overdues fees ,this will show from start of month to when we pay account on the 10th of the month
